What it does

VendorWatch scans paper or PDF invoices with the iPhone camera and pulls out line items, prices, and quantities. It compares each line against the prior invoice from the same vendor and flags price increases, missing items, duplicate charges, and case-pack changes (where the case dropped from 12 units to 10 but the case price stayed the same — that's a 20% per-unit increase hidden in the spec change).

The fastest way an independent restaurant loses money is paying invoices without verifying line items. Vendors raise prices mid-week and rarely flag it. Some hide it in spec changes. Some round up. Some bill twice. The first invoice an operator scans usually catches an error.

Every scanned invoice builds the price history. Over time, the operator has a complete record of what every key ingredient cost from every vendor across every week. That history is what lets you negotiate, switch vendors, or just verify your accountant's COGS number against what you actually paid.

How accurate is the OCR on real (crumpled, faded) invoices?
The OCR is tuned for the kinds of invoices restaurants actually receive — thermal-paper, partially folded, food-stained, occasionally torn. Most line items extract cleanly on the first scan; ambiguous items can be edited inline before saving.
Does it integrate with QuickBooks or my accountant's software?
Currently exports to CSV and PDF. QuickBooks Online direct integration is on the roadmap. Most operators use the CSV export to send their accountant a clean weekly file.
What if a vendor changes the spec but I want the new spec?
The app flags the change and lets you accept it as the new baseline. From that point forward, the new spec is the comparison reference.
Does it work for non-food vendors (linens, cleaning supplies, etc.)?
Yes — the app is invoice-agnostic. Linen, cleaning-supply, and uniform invoices scan the same way and build the same price history.
Free tier limits?
25 invoice scans per month, indefinitely. Paid tier unlocks unlimited scans, multi-location vendor management, and CSV/PDF batch exports.
